Spector Pro records both incoming and outgoing email, as well as file attachments, from many of the most popular email applications, including webmail (email using Internet web sites). You can read the contents of the email, and see at-a-glance whether the message was incoming or outgoing, as well as Header and Body information. See Viewing Email Activity.
Use email settings to:
Turn email recording on and off.
Control which types of emails are recorded, and whether or not to scan for duplicates.
Determine whether or not to capture email attachments and their maximum allowable size.
Create filters to reduce the number of emails captured so you can focus on the ones you feel are most important.
Adjust various port settings, if necessary.
Note: Email Activity Settings affect the MySpace email message information that you view.
To access the Email pane:
Open the Settings window.
Locate Email Activity under Recording in the Navigate pane at left.
Click to open the email activity pane. This pane contains:
Options: turn recording options on or off.
Attachments: select email attachment options.
Advanced: click this button to open the Advanced Email Settings window, where you can add internal webmail sites or adjust port settings, if necessary.
Filter: click this button to open the Email Filter window, where you can add, edit and delete email filters.

Review the settings to be sure they reflect how you want to manage email activity. |
Close all applications that are running and log off all users to ensure that new settings affect these applications and users.
Capture Email Activity - By default, this box is checked to enable the recording of email activity.

By default, the box next to each type of email is checked to enable their recording, incoming and outgoing, except for Exchange / MAPI.
SMTP / POP Email - Email sent via the Simple Mail Transport Protocol (SMTP) or received using the Post Office Protocol (POP). Popular Windows programs that send and receive email using the SMTP / POP protocols include Microsoft Outlook, Outlook Express, Mozilla Thunderbird, Incredimail and Eudora.
IMAP Email - Email sent or received through an Internet Message Access Protocol. This is a server-based email interface similar to an Internet newsgroup.
Web Email - Email sent or received that is web-based such as Hotmail, Yahoo! Mail, AOL and others.
Exchange / MAPI Email - Email sent or received through a Microsoft Exchange Mail Server or by an application that has Messaging Application Programming Interface (MAPI) functionality. Exchange email applications include Microsoft Mail or Microsoft Outlook. Any Windows application incorporating MAPI functionality can become "mail-enabled." Microsoft Office Suite is MAPI enabled.
Note: Make sure Exchange / MAPI is checked if you use Microsoft Outlook to connect to the Microsoft Exchange server.

Scan ONLY Inbox folder for pre-existing new emails - By default, all Exchange / MAPI email folders are scanned, including the Inbox and subfolders that may be nested under the Inbox. Click to scan only the Inbox folder if Microsoft Outlook is slow when opening.
AOL Email - Email sent and received using the proprietary AOL Internet mail protocol. This includes AOL versions 5.0 through 9.0, AOL German, and AOL Mexico. AOL email can only be recorded if the user logs into AOL and opens a received email or composes an email. If the email is listed in AOL, but is not opened by the user, it is not recorded. AOL email that is sent and received through the web email interface at www.aol.com is also captured.
Check for Duplicate Emails - Check to avoid recording an email more than once if you open it more than once. By default, if a duplicate email is opened Spector Pro does not record it again. This is handy if you have an anti-virus or other third party program that produces email duplicates.
Click OK to save the changes you have made, or Cancel to discard them. The Settings window closes.
To select email attachment options:
Capture Attachments - By default, Spector Pro does NOT capture email attachments along with the emails, to preserve hard drive space.
NOTE: You must turn this feature on if you intend to create any rules that will include the recording of emails with attachments. If you do not turn this feature on, Spector Pro does indicate in the Viewer for Email Activity that an attachment was sent or received.

Spector Pro DOES NOT support attachments sent through AOL or web mail. They must be sent through POP / SMTP email clients (e.g., MS Outlook, Outlook Express, Eudora, Incredimail, etc.) or Microsoft Exchange using MS Outlook. |
Maximum Attachment Size . . . KiloBytes - You may limit the size of attachments captured. Keep in mind that the mail server may limit the size of the attachments that it allows. Use the up and down arrows or type in a number to specify the maximum size of email attachments that may be captured. The available range is 0 through 1 megabyte. The default is 100 kilobytes. Set this to 0 if you want to allow for UNLIMITED attachment size. If an attachment exceeds the specified size limit, it is not recorded. The Viewer displays a flag and the INFO message: Attachment(s) exceeded size limit - not recorded.
NOTE: If the attachment exceeds the maximum, Spector Pro does not capture the attachment but it does indicate in the Viewer for Email Activity that an attachment was sent or received.
Click OK to save the changes you have made, or Cancel to discard them. The Settings window closes.
Under normal circumstances, you will not need to change advanced settings. SpectorSoft advises that only advanced users change these settings, as this could affect Spector Pro's ability to reliably capture data. From the Email pane:
Click Advanced. A warning appears reminding you that changing the advanced settings could have an adverse effect on Spector's ability to record. Click Yes to proceed. The Advanced Email Settings window opens.
Internal Webmail Sites - Allows SpectorSoft to configure your internal webmail, if you have one.
Double-click on the appropriate Package. The Enter Host window opens.

Enter the host location (server), and / or click Host might be accessed by the following IP Address and enter the IP address.
If you don't know the server or the IP address, click Resolve. The system finds the IP address and it appears in this window.
Click OK. The window closes and the host location displays in the Advanced Email Settings window.
Mail Server Ports - These are the ports commonly used by the mail servers listed. It is possible that the server is configured to use non-standard ports (perhaps by your ISP or network administrator). If this occurs you need to change these ports to conform to the server.
SMTP Ports - The TCP / IP port setting for Internet SMTP emails, such as those sent or received by MS Outlook.
POP Ports - The TCP/IP port settings for Internet POP3 emails, such as those sent or received by MS Outlook.
IMAP Ports - The TCP / IP port setting for IMAP emails, such as those sent or received through an Internet Message Access Protocol.
Click OK to accept the changes you have made, or Cancel to reject them. The Advanced Email Settings window closes.
Click OK to save the changes you have made, or Cancel to discard them. The Settings window closes.
