
When a report is displayed in the Preview window, you have
the option to export the report to a file format
. The format to which you export depends on
what you want to do with the report:
Export
a formatted document for others to read.
If you export a report to PDF, you can be sure the formatting and content
won't be changed (easily) and the report will be printable and intact
"as is." For example, if you simply want to distribute the report
by email, PDF would be your best choice.
Export
a formatted document that you can edit.
If you export a report as an HTML, MHT, or Rich Text document, there
is a possibility of changing the contents or format of the report. For
example, you could add comments and additional information to a Rich Text
(.rtf) document using Microsoft Word.
Export
a report to include within another document.
If you export a report in a Graphic document format, the report can
easily be included within another document and is not easily edited. For
example, a graphic file may be best for incorporating a report in a Power
Point presentation.
Export
report data to manipulate with a spreadsheet.
If you export a report to CSV or Excel, the report can be opened by
a number of data editing programs. For example, if you want to create
your own equations using numbers in the report, exporting to Excel (.xls)
would be a good choice.
To export a report:
Double-click a report to display it in the Preview window.
On the Preview window, click
the Export Document button on
the Preview toolbar to open a standard Save As dialog box, or click the
down arrow next to the button to open a menu of export choices.

Select an export type:
PDF Document - Page Display Format (.pdf) documents can be opened for viewing in Adobe Acrobat. PDF documents can be locked down for security or can allow comments and editing.
HTML Document - A Hypertext Markup Language (.html) document can be opened for viewing in an Internet browser, such as Internet Explorer or Netscape.
Text Document - Plain text (.txt) can be opened by any text editor or word processor.
CSV Document - A comma-separated values (comma delimited) text file (.csv) can be imported to a number of applications for further manipulation.
MHT Document - Microsoft Hypertext Archive Format (.mht) can be viewed in Internet Explorer.
Excel Document - An .xls file can be opened and edited in Microsoft Excel.
Rich Text Document - An .rtf file retains formatting and can be opened in Microsoft Word for editing.
Graphic Document - This option allows you to select a file type of BMP, GIF, JPG, PNG, TIFF, EMF, or WMF in the Save As dialog box. The entire report is saved as a graphic and can be inserted into another document.
A Save As dialog box opens.
In this box:
Navigate to the folder where you want to save the file.
Type a name in the "File Name" box.
If necessary, select the file type from the "Save as type"
list.
Click Save.
