Recorded Email Events

Spector 360 records each email sent, received and viewed. If you choose, it includes all opened and unopened email file attachments.  Even if an employee deletes an email, Spector 360 creates an invisible "duplicate." Using the Dashboard, you can report on email traffic, destinations, and nature of content. This may help your organization to comply with federal security standards for information sharing. It also helps you keep a handle on gossip and sexually or racially charged communication that  may have legal implications.

To view Email Event Details:

  1. Click on an Email chart element in Quick View, select an Email data form in Data Explorer, or select a user from User Explorer and choose the Email tab.

  2. In the Events window for Email Activity, click Load Events to view details for each recording in the Events pane.  You can print and export this data for any user. If you are storing screen snapshots, you can go directly to the snapshot of the currently selected event record.

  3. Read the email contents in bottom pane of the Events window; view an email attachment by clicking in the Attachments field. See Viewing Email Attachments.

Email Addresses

Spector 360 processes email addresses by reading the name before the @ sign up to the first invalid character or beginning of string, and by reading the domain after the @ character back to the first invalid character or end of string.

Addresses are also "cleaned up" by removing spaces and quotation marks. For example,  'mickeyo@abc.  com' becomes mickeyo@abc.com.  

This can affect the email address. For example, the email address MickeyO'Day@abc.com would be processed and stored as day@abc.com, since the apostrophe indicates an invalid character or start of string. Keep this in mind in when viewing email data.

To sort the records by any field:

Click any field column header (e.g., To) to list the records A-Z by that field. Hold down the Shift key and click on column headings to sort by multiple fields (e.g., To and Web Mail Host).  

To select how many records are shown:

Use the tree in the upper-left Navigate pane to select a higher (more records) or lower (fewer records) branch in the Event Group.  Click Load Events to see the records for the selected group branch in the Events pane. This allows you to adjust the data for report and export purposes.

To view a Screen Snapshot of the event:

Select the recording in the Events pane and click View Screen Snapshots. Or, right-click in the Events grid on a record and select Go to View Event Snapshots.

To view the contents of an email:

Select (click on) a record in the Events grid to display the email contents in the lower pane of the Events window.  (Formatting and graphics depend on the email protocol used.)
