Scenario 6 - Watch Email to Competitors

Problem

How can I track communication between my employees and a former employee working for our top competitor or any email passing to or from competitors?  

Solution

The Spector 360 Dashboard lets you target specific domains for reports.  Because there may be many domains to select from, we recommend creating domain "groups" to make criteria selection easier.  

Define a "Blacklist" domain group:

  1. Select the Management tool and the Domain Groups folder.

  2. Right-click in the right pane and select New from the pop-up menu. The Event Domain Group window appears for "New Group."

  1. Enter a name and description for the domain group.

  1. Select the domains for your blacklist from the list of "Available Event Domains" in the left column. Use the Shift and Ctrl keys to select more than one domain at a time. Click the > button to send the domains to the "Selected Domains" list on the right.

 

  1. When your list is complete, click Save and Close on the toolbar.

Add a new chart:

  1. Select the Quick View tool and the folder in which you want to store the chart. Use the new panel you created in Scenario 1 or another panel, such as "Favorites - Security" that has room for another chart.

  2. Scroll the right-pane pane down until you see the "Click here" graphic that indicates a chart can be added. Click the graphic (or right-click and select New) to start a new chart. The New Chart Wizard opens.

  1. On the New Chart Wizard, Step 1, select Advanced Setup, then click Next. The Chart Settings box appears. This is the same dialog box you see when you click the Settings button on an existing chart.

Set up an email chart:

  1. In the Chart Settings dialog box, for "Event Activity," select Email.

  2. For "Chart Contents," select Top Domains.

  3. Enter a Chart Title, such as "Competitor Domains and Email."

  4. Click the Criteria button in the lower left corner. This takes you directly to the Criteria box.

 

Set criteria for the chart:

Set the General Criteria "Date" to a range that makes sense for the data (e.g., Previous Month), then click the Event Criteria tab. Make Event Criteria settings as follows:

  1. In the "Domains" field, select Include Specific Domain Group(s). The Domain Group(s) selection box appears.

  2. In the Available Domains groups, select the "Blacklist" domain group you created.

  3. Click the > button to add the group to the Selected Domain Group(s) list. Only the domains in this group will be included in the chart.

  4. Click OK to close the Domain Group(s) Selection box and return to Event Criteria. The Event Criteria is now set to include only your "Blacklist" domain group.

  1. Click OK to generate the chart.

 

6. View the chart:

Now that you see which competitors are sending/receiving email, find out which users are involved. Click the Settings button below the chart. This takes you back to the Chart Settings box. Simply (1) replace Top Domains with Top Users for "Chart Contents," (2) change the chart name, (3) click OK, and voila:
