When you click Add or Edit on the Email Filter box, the Email Rule box appears. You can set up rules for recording or for ignoring email.

Rule Name - Enter a descriptive name for the rule.
Rule Criteria - By default all criteria are selected. If the email is:
Sent from this Computer - Select to apply the rule if sent from this Client computer. Clear to exempt email sent from this Client computer.
Received by this Computer - Select to apply the rule to email received by the Client computer. Clear to exempt received email from the rule. (If both Sent and Received options are cleared, the rule will have no effect.)
And, the email:
Has
Attachments of any size or
less than / greater than
/ equals [n]
KB - Select to include email with attachments and specify whether the
attachment(s) should be a certain size.
Does Not Have Attachments - Select to include email without attachments. Select both attachment options to include all email with or without attachments.
And, the email's format is (check all that apply):
Plain Text - Text format email.
HTML - HTML (common web) formatted email.
RTF - RTF (Rich Text Format) format normally used by Word.
And, the email comes from (check all that apply):
an SMTP/POP account - The email was generated or received in standard (Outlook, Outlook Express) email format.
a Webmail account - The email was generated or received from yahoo.com, hotmail.com, or another web email provider.
a Microsoft Exchange account - The email was generated or received on an Exchange server.
an IMAP account - The email was generated or received from an account on an IMAP email system.
And, the email's To / From / Subject / Body:
Is anything - The field is empty or contains any text.
Starts with - The beginning of the field matches what you type in the adjacent box. For example, you might look in the From field for mail from an address starting with "Robert": robert@mycompany.com or robertk@yahoo.com.
Ends with - The ending of the field matches what you type in the adjacent box. For example, you might look in the To field for matches ending with "TheirCompany.com" and capture email sent to sales@theircompany.com and jane@theircompany.com
Contains - The field matches your entry in some way. For example, you might check ALL fields to see if any contains "TheirCompany." This would capture (1) an email with jane@theircompany.com in the To address, (2) an email with sales@theircompany.com in the From address, (3) an email with "concerning TheirCompany annual report" in the Body of the message, and (4) an email with "numbers from TheirCompany" in the Subject.
Equals - The field matches your entry exactly. For example, you might want to single out any email where the To field matches "jane@theircompany.com" exactly. This would capture any email sent to that specific person.
Then the email should be:
Recorded - If the email matches the above rules, the Client should record it.
Ignored - If the email matches the above rules, the Client should NOT record it.
Click OK to close the box and set the rule. Click Cancel to close the box without saving changes.
